These Terms and Conditions apply to all workshop and service bookings provided by Giant Journeys (“the Supplier”). By booking with us, the Client agrees to be bound by the following terms, which override any previous agreements or arrangements.
1. Definitions and Interpretation
1.1 In these Terms, the following words and expressions shall have the meanings assigned:
- “Client” – The school, organisation, or individual contracting with the Supplier for the delivery of services.
- “Contract” – The agreement for the provision of the Specified Service, comprising these Terms and any agreed Specification.
- “Damage Waiver” – An optional cover, which, if purchased, limits the Client’s liability for accidental damage to Equipment supplied.
- “Equipment” – Any items, tools, or materials supplied by the Supplier for use in delivering the Specified Service.
- “Specification” – The details of the booked service(s), as confirmed by the Supplier in writing, including session outlines, activities, and logistics.
- “Specified Service” – The workshop(s) or activity/activities to be delivered by the Supplier for the Client.
- “Supplier” – Giant Journeys, based at Vulcan Works, 34-38 Guildhall Road, Northampton, NN1 1EW, United Kingdom.
- “Workshops” – Any Specified Services designated as workshops within the Specification.
1.2 For interpretation:
i. Words in the singular include the plural, and vice versa.
ii. References to one gender include all genders.
iii. The term “including” is illustrative and does not limit the generality of what follows.
iv. Headings are for convenience only and do not affect the meaning of these Terms.
2. Delivery of Services
2.1 The Supplier agrees to provide the Specified Service with reasonable skill and care, subject to these Terms.
2.2 The Supplier reserves the right to make minor adjustments to the Specified Service, where necessary to meet safety, legal, or operational requirements, provided such changes do not materially reduce the quality of delivery.
3. Fees and Payment
3.1 The Supplier reserves the right to amend its charges, giving the Client at least three months’ written notice.
3.2 Prices quoted exclude VAT, which will be charged at the prevailing rate (if applicable).
3.3 Payment is due within 30 days of invoice, without deduction or set-off.
3.4 Late payments may incur interest at 2% above the NatWest Bank plc base rate, plus reasonable administration costs for debt recovery or changes to bookings.
3.5 The Client is responsible for ensuring Equipment provided by the Supplier is not damaged, defaced, or misused during the service. The Client shall reimburse the Supplier for any repair or replacement costs. Where a Damage Waiver has been purchased, liability for accidental damage is removed.
4. Cancellations
4.1 Cancellations must be made in writing by the person who entered into the Contract (by email or online acceptance).
4.2 Cancellations received 28 days or more before the booked date will incur a cancellation fee equal to 60% of the total fee.
4.3 Cancellations received less than 28 days before the booked date will incur a cancellation fee of 100% of the total fee.
5. Warranties and Liabilities
5.1 The Supplier warrants that services will be delivered with due care and skill.
5.2 Except in cases of personal injury or death caused by negligence, the Supplier accepts no liability for indirect, consequential, or economic loss, including (but not limited to) loss of profit, arising from the service. The Supplier’s total liability shall not exceed the total fee payable for the Specified Service.
5.3 The Supplier will not be held responsible for delays or failures caused by circumstances beyond its reasonable control (e.g. weather, transport issues, staff illness, or acts of God).
6. General Provisions
6.1 The Supplier may, at its discretion, allow postponement or re-scheduling of a booking. Requests must be made in writing.
6.2 Any rescheduled workshop will incur an administration charge of £50 per workshop.
6.3 Promotional materials and demonstrations are subject to change, but such changes will not reduce the quality of the final service.
6.4 Any unused materials at the conclusion of a workshop remain the property of the Supplier and must be returned.
6.5 Safety Data Sheets for materials are available upon request.
6.6 These Terms constitute the full agreement between the parties and override any prior discussions or correspondence. No variation will be valid unless agreed in writing.
6.7 If any provision is deemed unenforceable, the remainder of these Terms shall remain valid.
6.8 The Contract shall be governed by the laws of England, and both parties submit to the jurisdiction of the English courts.
7. Special Conditions
7.1 General Workshop Requirements
Workshops are designed for 12–30 children unless otherwise specified. The Supplier reserves the right to cancel without refund if these numbers are not met.
The Client must provide a suitable space for delivery, with adequate room for all participants.
A responsible member of staff must be present throughout the session and until all children have left.
The Client is responsible for ensuring appropriate first aid provision is available.
Topic and timing details must be confirmed in advance. If not provided, the Supplier will select default options.
7.2 Additional Requirements for Certain Workshops
a. Dance workshops: The Client must provide a suitable sound system.
b. Forensic Science, Dinosaur and AI workshops: Tables and chairs must be made available where required.
c. VR Workshops: Use of gym mats to be made available where required.
7.3 Virtual Reality (VR) Workshops – Health & Safety

Health Advisory: VR headsets may display flashing lights, rapidly changing images, or 3D effects. These can cause discomfort, dizziness, nausea, or, in rare cases, seizures. A small percentage of people with epilepsy may be photosensitive and could experience a seizure even if they have never had one before.

Disclosure of Medical Conditions: Parents/guardians and staff must inform Giant Journeys in advance if any participant has a history of epilepsy, seizures, fainting, motion sickness, or other relevant conditions. Giant Journeys reserves the right to restrict participation in such cases and may request medical clearance.

Supervision & Monitoring: All VR sessions are supervised. Participants must immediately remove the headset if they feel unwell. Staff will monitor for signs of discomfort or distress.

Duration of Use: VR use is limited to short, age-appropriate sessions. Continuous headset use will not exceed 15–20 minutes for children.

Assumption of Risk & Liability: By participating in a VR workshop, schools, staff, parents, and guardians accept the potential risks and agree that Giant Journeys shall not be liable for any injury, seizure, illness, or adverse reaction arising from headset use, except where caused by our negligence.

Emergency Procedures: In the event of a seizure, fainting, or other medical issue, Giant Journeys staff will follow emergency protocols, including seeking medical assistance. Parents/guardians must ensure emergency contact details and relevant medical information are provided to the school in advance.
8. Data Protection and GDPR Compliance
8.1 Giant Journeys collects and processes personal data (including names, contact details, booking information, and relevant pupil information where required) solely for the purpose of delivering its services, administering bookings, and fulfilling contractual obligations.
8.2 All personal data is handled securely in compliance with the UK GDPR and the Data Protection Act 2018.
8.3 Personal information will never be sold or shared with third parties for marketing purposes. It will only be disclosed where required by law or to trusted service providers necessary for the fulfilment of our services.
8.4 Clients have the right to access, rectify, or request deletion of their personal data by contacting Giant Journeys at info@giantjourneys.co.uk.
8.5 Data will be retained only for as long as necessary to meet legal, accounting, or operational requirements.
9. Black Friday Promotional Discount
Black Friday promotional discounts are valid on full-day workshop bookings only. This offer excludes peak operational periods, including but not limited to National Science Week and any other high-demand dates specified by Giant Journeys. Discounts cannot be applied retrospectively to existing bookings or Dino Visit Assemblies.
